Guidelines for Adding or Updating Your Event Records
These guidelines show you how to add or update your records on the Your Events section. This online listing of your special events will be displayed on the Virtual Museum of Canada (VMC).
Event Entry Form
Description
Your Event Entry Form allows you to enter event listings for display in the VMC’s Museums and Events section.
Your Event Entry Form allows you to enter a detailed description of an event, including its title, dates and hours, audience, admission fees and contact information. Please note that certain fields from the entry form are mandatory for the record to be accepted. These fields are indicated by the term "Required" in brackets.
Tips
- To access Your Event Entry Form or to view your list of events, choose add or update event records.
- If it is your first time entering event information, you will be presented with a blank entry form. If you have already added events, you will be presented with a list of your active events.
- Once you have entered and/or edited your event information, choose "Update", "Hold" or "Cancel" at the bottom of the entry form.
- "Update" saves the changes you have made to your entry and updates your information in the VMC's Museums in Canada section.
- "Hold" saves your entry as a draft. It does not update your information in the VMC's Museums in Canada section. You can return at a later date and change the information you have already entered. You can also add more information prior to submitting it for display in the VMC.
- "Cancel" clears the entry the entry form of all the information you have entered.
Adding an Event
Description
To add a new event, click on the "Add" button to get a blank Your Event Entry Form. Then enter the information about the new event.
Modifying, Deleting or Highlighting an Event
Description
To modify, delete or highlight a listed event, select the event by clicking on the circle beside the event number, and then click on the appropriate button.
Tips
- The "Modify" button links to the selected event's entry form and allows you to change the information.
- The "Highlight" button gives the selected event special prominence in the VMC's Museums in Canada section. Select from your list the event that you want to highlight and click on the "Highlight" button. The system will request confirmation. Choose "Confirm" to highlight the event, or "Cancel" to return to the list of events. A highlighted event is designated by "***" in your event list, and by a yellow star in the VMC under Museums in Canada. Please note that only one event per institution may be highlighted at any one time.
- The "Highlight" designation may be removed from an event. To return the event to regular status, choose the highlighted event and click on the "Highlight" button. Choose "Cancel" when prompted for confirmation to highlight the event.
- The "Delete" button deletes the event's record. Choose the event to be deleted and click on the "Delete" button. You will be asked to confirm or cancel the deletion of the event. Choose "Confirm" to delete the event, or "Cancel" to return to the list of events.
Past Events
Description
Events that have expired (i.e. the present date is greater than the end date of the event) will be dropped automatically from public display in the VMC's Museums in Canada section. However, you will continue to have access to the records for these events.
Tips
- To view your list of past events, or to activate a past event, click on the "Past Events" button.
- To activate a past event, select the event by clicking on the circle beside the event number and click on the "Activate" button. You will be prompted to enter new start and end dates for this event. If you wish, you may also modify the event record as required.
Including Images
Description
The "Photo Album" feature allows VMC visitors to browse through a selection of event images.
Tips
- You can associate several images with each event in your record.
- One image should be selected to act as the main image for the event. This image should be sent to the attention of CHIN’s help desk at service@chin.gc.ca for processing. For more information, please contact CHIN or see Guidelines for Including Images with Your Records.
